This is an exciting opportunity to develop your portfolio as a key member of the Education, Leisure and Lifelong Learning Directorate facilitating contact with schools, partner services and external agencies. The post holder will provide an efficient and responsive administrative, organisational and logistical service to the Head of Service for Early Years, Inclusion and Partnerships.As a Business Support Officer, you will provide a full secretariat for the Head of Service, Co-ordinators and Managers across the Inclusion, Early Years and Partnership services and act as a liaison across services and schools. The post will also proactively provide a range of administrative support to the Inclusion Service Teams, including Educational Psychology, School Based Counselling, Wellbeing and Behaviour and Education for Children Looked After.
Your daily routine will involve:
- Dealing with sensitive and confidential information
- Communicating with professionals, schools, parents and members of the public.
- Working with Corporate Training and Inclusion Mangers to ensure all staff access mandatory training.
- Supporting in the organisation of training events including ALNCo forums, Emotional Literacy Support Assistants (ELSAs) and the Inclusion Service training menu.
- Designing, preparing and laying out complex documents, process and distribute mail.
- Providing administrative, organisational and secretarial support to meetings.
- Organising events and functions.
- Managing online and computerised records/information and filing systems. This will include the creation of new files as well as the transference of existing files and archiving.
- Dealing with general telephone enquiries and complaints from members of the public, elected Members and the Corporate Call Centre.
- Undertaking word processing and complex IT based tasks. Maintain and use databases. Operate relevant office equipment and be responsible for the maintenance thereof.
- Providing personal-administrative and organisational support to Coordinators and managers as deemed appropriate.
- Completing and submit forms, returns etc. including those to outside agencies for example the Welsh Government.
- Experience of working in an administrative setting
- Possess 5 GCSE's (Grade A to C) or equivalent to include English Language and Mathematics.
- 2 A Levels or equivalent.
- Responding to queries from members of the public and people in positions of authority.
- Managing digitalised systems and files including Microsoft Sharepoint.
- Working independently and managing a personal workload.
- Experience of procurement and ordering processes, invoicing and tracking payments.
- Organising large scale training events, including venue bookings, invoicing and online booking systems.
